Printers are located across campus in various office spaces for employee printing needs. There are two types of printers available for use: HP laser printers and Toshiba Multi-Function Devices (MFDs), which are larger devices that also provide copying and scanning functionality. Faculty and staff have two ways to queue up and print jobs at these printers: FollowMe printing (sending your print job to a virtual printer queue and releasing it later) and direct printing (print immediately to a specific printer).

Using FollowMe printers (sometimes referred to as FollowMe queues) allows print jobs to be held in a virtual queue until the you physically go to a supported printer and release the job for printing. It is especially useful when printing documents with sensitive or confidential information since the documents only print after the user releases the job at the printer.
FollowMe printers are available to Smith employees and installed on Smith-assigned computers:
FollowMe-BW (black and white)
FollowMe-Color
FollowMe-MFD (for any Toshbia MFD)
FollowMe-MFD-PPD (to use with MFDs that support special finishing options) - not installed by default
The FollowMe-MFD queues, in particular, are recommended for employees with convenient access to MFDs. Some staff and faculty will also use FollowMe-BW and FollowMe-Color to print to laserjet printers in their areas.
Note: You must be on campus and connected to the Smith network to print to FollowMe queues
Open the file you would like to print and select the Print option. On mobile devices, this may be under the share icon menu. Print options will display.
From the list of available printers, locate the FollowMe printers and choose the most appropriate one based on whether you need color printouts and the type of printer you will access to release and print the job.
The default paper and layout options for FollowMe printers may be different from what is desired. Confirm the selections, e.g., paper size, orientation, page range, and number of copies.
Select Print to submit the job.
You may be prompted for your Smith account username and password. Enter if prompted.
Once submitted successfully, your print job will be held in the virtual queue for 72 hours. To view jobs in your queue that are pending release, visit print.smith.edu. (You can also view your printing history and stipend balance.) Don't see your print job queued? See Troubleshooting for tips.
When ready to get your printout, head to a printer to release it.
To release your job, head to a convenient printer that supports the type of FollowMe printer you selected when you submitted the job e.g. FollowMe-MFD, FollowMe-BW.
At the FollowMe printer, log in via one of the following methods:
Authenticate with your OneCard
To login, tap your OneCard on the card reader at the printer. Mounted on HP laser printers and indicated by "ID card" on MFDs.
NOTE: Steps 3-5 apply to MFDs only:
MFDs have the following additional options for logging in:
Authenticate with your Smith ID
From the home screen on the MFD display panel, select ID number.
Follow the prompts and use the display keyboard to enter your ID number displayed on the front of your OneCard.
Authenticate with your Smith Username and Password
From the home screen on the MFD display panel, select Username and password.
Follow the prompts and use the display keyboard to enter your Smith Username and password.
Your username will now be displayed in the upper right-hand corner on the main screen.
MFDs: On the MFD screen, select Print Release to view a list of print jobs pending release and select other options. You can choose a single job to print or all pending jobs.
HP laser jets: All pending print jobs will be released.
Select Print
When you are done, remember to log out of the printer using the display panel.
Direct printing is sending a print job to a specific MFD or laser printer (typically one near your workspace) from a Smith-assigned computer. Once sent, the job prints immediately. You may need to install a printer queue (also referred to as printer driver) if you do not see it on your computer.
Open Finder and select Applications from the list of folders.
From the list of applications, double-click Smith College Self Service to open the application. A new window will open. Note: You must be on a Smith computer and connected to the Smith network to access this application.
From the left menu, select Printer Queues. (If you don’t see the Printer Queues option, expand the Browse menu by selecting the down arrow to the right of Browse.) A list of printers will display. Printer queues are named and listed in order by street number and/or building name followed by room/floor.
From the list of printers, locate the MFD or HP in your area and select Install.
The printer will now appear as an option when printing from applications.
Determine the print server you need to connect to based on where the printer is located:
For buildings alphabetically from 10 Prospect Street to Fort Hill, connect to \\tps1
For buildings alphabetically from Garrison to Ziskind, connect to \\tps2
Next to the Windows icon in the lower-left corner of the desktop, select the Windows search field. Enter the name of the print server determined in Step 1, either \\tps1 or \\tps2 . Note: You must be connected to the Smith network to access the servers.
A list of printers available on that print server will be displayed.
From the list, locate the name of the MFD or HP you wish to print to. (If you do not see the printer you are looking for, try the other server, either \\tps1 or \\tps2 )
Double-click the printer icon and wait for the installation to complete. DO NOT double-click multiple times. Wait for the installer window to pop up, which may take several minutes.
The printer will now appear as an option when printing from applications.

If you are having trouble printing directly to a printer device or a FollowMe queue, e.g., your print job is not showing up on the printer after waiting for the normal amount of time, first try restarting the application you are using. If that doesn't work, restart the computer. If the problem persists, ensure you have the most recent printer installed by removing the existing printer and reinstall it; see detailed instructions below for your computer’s operating system.
To view the list of installed printers, open System Preferences (or System Settings). The settings window will display.
From the list of settings on the left, select Printers & Scanners. You may need to scroll down to see this option.
Find the name of the printer you want to remove, select it, and then select Remove Printer.
Open Finder and the Applications Folder. Navigate to the Smith College Self Service application and double-click to open it.
From the list of categories on the left, select FollowMe Printers or Printer Queues for direct printers.
Find the appropriate printer for your location, then select Install.
Note: If you delete the printer that is set as your default printer, macOS selects another printer as your default. To set a different printer as your default, return to Printers & Scanners and choose the desired printer for Default printer.
To view the list of installed printers and Followme queues, select Windows Start , then select Settings > Bluetooth & devices > Printers & scanners
Find the name of the printer or FollowMe queue you want to remove, select it, then select Remove.
FollowMe Printers
Select the Search Windows icon from the Windows taskbar. In the search field, type \\tpsmain then press Enter.
From the list, double-click on the appropriate queue(s). Wait for the driver and printer installation to complete. Do NOT click multiple times; the installer pop-up window may take a few minutes to appear.
Once the install is completed, a print queue window will be displayed, and the printer will appear as an option the next time you print.
Direct Printers

For TA, RA, temporary and student workers to use MFDs (Multifunction Device) for work purposes, they will need to use an 88# at the device instead of tapping a OneCard ID. If students use their own OneCards, they will be personally charged for printing/copying. Temporary employees are not issued OneCard IDs and, therefore, are unable to use that method for logging in at the printer.
These workers should use either department generic accounts (aka Lab Accounts) or employee-assigned accounts. Each of these types of accounts will have an 88 number associated with it.
To request an 88#, email ithelp@smith.edu with the name of the generic account or temporary employee account being used.
To use an 88# to queue the print job and send to an MFD, workers must be logged into the computer from which the print job will be sent using the Smith account associated with the 88#. See the department contact for these details. At the printer, log into the MFD using the method, Authenticate with your Smith ID. If you are having issues printing, we recommend first removing and then reinstalling any printers that are not working. If the issue appears to be related to toner or printer malfunction, please reference the following information on printer maintenance.
Printer service and toner cartridges for all Smith MFDs are provided under contract by Toshiba as of January 1, 2024.
To request toner or service for the MFDs and to recycle used toner cartridges, refer to the instructions below.
Order Toner for MFD
MFD devices are set up for Auto Delivery of toners (supplies should auto-ship when they are detected at 20%). You shouldn't need to order toner for an MFD network printer. If you do need to request toner:
Locate the gray Toshiba label on the printer. Make note of the Equipment ID # (a W followed by five digits). It will be near the model number of the MFD.
Note that if your printer does not have a Toshiba label or Equipment ID #, email ithelp@smith.edu for guidance. Include the type of printer, serial number, and location of this device.
Call Toshiba at 1-800-247-4264 or email ncentralsupplies@tbs.toshiba.com and provide the Equipment ID # number found on the label.
Waste Toner Containers and staples still need to be ordered manually by the Smith contact.
Request Service for MFD
For service on an MFD to be covered under Smith's agreement with Toshiba, a toner cartridge for that printer must have been ordered through Toshiba; otherwise, your department will be billed for a Toshiba toner without it being shipped.
To request repair service on an MFD:
Locate the gray Toshiba label on the printer. Note the Equipment ID # (a W followed by five digits). It will be near the model number of the MFD.
Note: If your printer does not have a Toshiba label or Equipment ID #, email ithelp@smith.edu for guidance. Include the type of printer, serial number, and location of this device.
Call Toshiba at 1-800-247-4264. A Toshiba representative will need the Equipment ID # found on the label.
