If you opt for a physical phone as part of your Zoom Phone transition, a new Yealink phone will be provided. Avaya phones will no longer function after your phone number is moved to Zoom Phone. Common area phones across campus will also be replaced with new Yealink phones.
If you decide that you'd like a physical phone, you can request one at any time using the Zoom Phone Request Form, submitting a general IT support ticket via Request Help, or emailing ithelp@smith.edu.
Please follow the steps below. If you have any questions or need assistance, let us know by responding directly to the phone request ticket created for you or submit a general IT support ticket via Request Help.
IMPORTANT: DO NOT install your new Yealink phone before your phone number has migrated to Zoom Phone.
After you’ve received an email confirmation that the cutover has occurred, follow the installation instructions below.
Disconnect your Avaya phone.
You may have one or two Ethernet cables connected to your current phone. Everyone will have one cable that connects the phone to a wall jack. You may have a second cable that connects the phone to their computer.
Unplug the cables from the back of your Avaya phone. Leave the other ends plugged into the wall jack and computer.
Connect your Yealink phone.
The Ethernet ports are labeled on the back of the phone, PC and Internet.
Plug the cable from the wall jack into the Internet port (Fig. A).
If your phone is connected to your computer, plug the cable from your computer into the PC port. (Fig. B)
Once connected, the phone will automatically begin to initialize. This may take several minutes.
When initialization is complete, you'll see your name and extension on the screen.
3. Connect the handset.
On the left side of the phone are two ports. Connect the handset included with your phone to the bottom port (handset image).
Your phone is now ready to use! Review the Quick Start Guide included with your phone for how to use special calling features on the Yealink model (disregard the setup and configuration instructions).
Please note that you no longer need to dial 8 or 9 before the number for external calls.
There are two directory options on your phone:
Local Directory - These are your personal contacts, manually added on your physical desk phone. To add contacts:
Select a caller in History, and then select Option, and Add to Contacts.
Select the Dir softkey, then select Local Directory, then Enter to open the directory. Select Add to add a contact.
LDAP - This is the Smith directory, which includes all listed Smith numbers.
There are 3 options for transferring calls with Zoom phone:
Warm transfer: Places the call on hold while you complete the transfer. This option is useful if you need to navigate an automated answering machine for the caller or if you want to speak to the receiving party before your call is transferred.
Blind transfer: Transfers the call to the specified number and immediately hangs up.
Transfer to voicemail: Transfers the call to the voicemail of a specified extension.
Note: While on a call on your desk phone, you can either use the Trans softkey (visible on the phone's display) or the transfer button (see image) to initiate the transfer. Selecting the softkey opens a menu that offers the option to transfer to voicemail; using the button does not. Otherwise, the functionality is the same.
Use the Trans softkey if you would like the option to transfer to voicemail.
During the call, select Trans on your display screen.
Select 1 to transfer the call:
Warm transfer:
Dial the intended extension.
Press the Call soft key.
Speak with the recipient.
Press the Trans soft key or Transfer button.
Direct transfer:
Dial the intended extension.
Press the B Trans soft key.
The transfer is complete.
Select 2 to transfer to voicemail:
Enter the extension.
Select Call or the transfer button.
The transfer to voicemail is complete.
You can use the transfer button if you do not need the option to transfer to voicemail.
During the call, select the Transfer button.
Warm or attended transfer:
Dial the intended extension
Press the Call soft key.
Speak with the recipient.
Press the Trans soft key or Transfer button.
Direct transfer:
Dial the intended extension.
Press the B Trans soft key.
The transfer is complete.
Note: When call forwarding is set up on your desk phone, unanswered calls will go to the voicemail of the person you are forwarding to (not your voicemail). Call forwarding can also be set up in the Zoom desktop app or the Zoom Web Portal. The Zoom app and web portal allow for more specific settings, like adding a time frame or recurring pattern for forwarding, and directing unanswered forwarded calls to your voicemail.
To set up call forwarding on your Yealink Phone:
Select the Menu softkey.
Select Features.
Select Call Forward.
Choose from three options and select Enter:
Always Forward
Busy Forward
No Answer Forward
Use the arrow buttons to toggle forwarding on and navigate down to the next field, where you will enter the extension or phone number to forward to.
Select Save.
To turn off call forwarding:
Follow the steps above to return to the Call Forwarding screen. Highlight the forwarding option that is turned on and select Switch to turn it off.
Note: Once you have entered an extension, it will be saved for future use. If you typically forward to the same person, you can simply use the Switch key on the forwarding screen to toggle forwarding on or off for that extension.
To turn off all call notifications, select the DND softkey. You'll see the DND indicator icon in the top right corner of the phone screen.
This setting will silence incoming calls across all devices. To resume call notifications, select the DND key again to turn it off.
To access voicemail from your desk phone, select the envelope button or dial *86. You will be prompted to enter your PIN. Follow the menu prompts to listen to your messages or record a new greeting.

The light in the upper right of your desk phone will blink for a number of reasons. Unlike Avaya phones, blinking does not only mean that you have a voicemail message. A blinking light is usually accompanied by an icon on the phone screen, indicating why it is blinking. See the chart below to determine the reason.
Note: Different phone models may have slightly different graphics.
Speed dial allows a phone number to be assigned to a line key on a physical phone and call the number with one-touch by pressing the physical line key on your phone. A busy lamp field (BLF) provide the same convenience and also enables you to see the call status of the other line, e.g. if the line is busy. (Note that only another Smith phone number can be programmed as a BLF.)
The BLF and speed dial keys configured on your physical phone are managed in the Zoom Web Portal Settings.
To access and manage the current BLF and line key configuration on your phone:
Sign in to the Zoom web portal.
From the left-side menu, select Phone, then select the Settings tab.
Scroll down to the Desk Phone section. Next to Keys & Positions, select View or Edit.

When you save changes to Keys and Positions, your Yealink phone indicator light will blink for a few seconds, and then the keys will be updated.
