Congratulations! The transition from student to graduate comes with changes to your Smith account and software platforms you have become accustomed to using. Please review the details below.
You are still part of the Smith community. As an alum, you continue to have access to career resources via the Lazarus Center for Career Development for five years after graduation. You also get indefinite access to resources through the Smith College Network and Alumnae Relations. Connect your Smith LinkedIn Learning to your LinkedIn profile to continue to take advantage of classes and training available through the Smith Network. If you’ll be staying in the area, consider getting an Alum OneCard to access campus resources.

Access to your Smith accounts and applications—such as Smith email, Google Drive, Moodle, and Zoom—will expire. The exact date your access expires will be emailed to your Smith email account over the summer. For May graduates, account expiration is approximately four (4) months after graduating.
Look for an email message with the subject line “Access to your Smith account will expire.” Mark your calendar with the account expiration date and plan accordingly!
If you have been hired to work at the college after graduation, we recommend verifying that your status has been updated in Workday and that it accurately reflects your new role. Doing so will ensure your Smith account remains active. Please work with your hiring manager and Human Resources if you have concerns.
If you are continuing at Smith in a graduate program, your account will automatically be extended.
If you don’t already have a non-Smith personal Gmail account, we recommend creating one.
Use your personal Gmail or another non-Smith email as a contact address on job applications. Do not use your Smith email address.
If you previously used your Smith email address to set up any external accounts like Facebook, Apple ID, Twitter/X, YouTube, Adobe Creative Cloud, Office 365, etc., be sure to change the email address on those accounts before your Smith account expires.
Let people know that your email address is changing. As soon as you have an alternate email address, share this with others. Create a Vacation Response in your Smith Gmail account to alert people about your graduation and new email address. Visit Google Support for instructions on how to set up a vacation responder. (Note that vacation responses will no longer be sent after your account expires.)
Consider temporarily forwarding new Smith email messages to an alternate personal email address. Visit Google Support for instructions on how to automatically forward Gmail messages to another account. After your account expires, messages will no longer be forwarded.
Before you lose access to your Smith Account, you may want to transfer personal emails and files or Google Sites to another Google account. For assistance, visit Copy Gmail & Google Drive Personal Files to a Non-Smith Account.
To avoid any lost work after your departure, we recommend that you make sure others on your team have access to relevant files and folders. For more information, visit Transfer Ownership of Smith Files.
Access to WordPress sites
For ongoing access to an existing site, request that your permanent/personal email address be added to the WordPress site. Email your Learning, Research & Technology (LRT) contact or ithelp@smith.edu.
Or, from your personal account, access the site and export to another service. The export file can be imported to create a new site
Campus Cash balances will be automatically refunded via ACH to the student’s bank account on record in Workday shortly after commencement. Please ensure your bank information is up to date in Workday. See the Help Article: Confirm Direct Deposit Information for assistance.
Alums qualify for a OneCard to use for gym access and library use. Smith graduates can request an Alum OneCard anytime after they graduate. Recent graduates must wait approximately one month before a card can be issued.
To obtain a card in person, email ithelp@smith.edu and include your name and Smith ID number (99#). A team member will confirm your information and provide instructions for making an appointment to take your photo, pay for, and pick up your card. The cost of the initial AAlum OneCard is $15. Replacement cards are $20.
You must return Smith-owned computers and devices that are assigned to you or are in your possession. (Note: ITS will wipe out all data and files on these devices before they are reassigned.)
To return equipment to the Central Service Point at Neilson Library, visit the desk during open hours.
To return equipment to the User Support Center in Seelye Hall, please make an appointment by emailing ithelp@smith.edu.
Your educational discount on computers and technology expires on the same date your Smith account does, so come to the Smith College Computer Store to take advantage of great prices on software, laptops, tablets, accessories, and more while you still can. See Computer Store for more information.
Visit Transcripts and Enrollment Verification on the Registrar’s website for information on this topic.
Your account expires when your Smith account expires. If you wish to save any of your Moodle files that are not already stored on a personal device, use portfolios to export your work.
Portfolios in Moodle make it easy for a student to export their work, including forum posts, assignment submissions, chat sessions, etc.
Visit Portfolios on Moodle docs for detailed instructions.
Your Zoom account expires when your Smith account expires. You can sign up for a free basic Zoom account after that time using a personal email address.
If you wish to save any of your Zoom cloud recordings (e.g., meeting video or chat files), download these items prior to the expiration date. For instructions on downloading your cloud recording files (e.g., video, audio transcripts, and chat files), see Managing and Sharing Cloud Recordings in Zoom Support.
Your account expires when your Smith account expires. To see offers from Microsoft, visit Office 365 Personal. Learn how to switch Office 365 subscriptions from University to Personal. If you are not planning to switch to a different subscription, you should download any files that you might want to access in the future. For instructions, see Download files and folders from OneDrive. If you have a personal OneDrive account, you can Copy, transfer or import files to your personal OneDrive.
Access to the LinkedIn Learning content through your smith.edu account will expire when your Smith account expires. However, as an alum, you can access all the LinkedIn Learning content via your Smith Network alum access. Note: before your Smith account expires (over the summer), you might see a choice to access the two different instances: LinkedIn Learning for alums and LinkedIn Learning for Smith.
In order to take your LinkedIn Learning history with you, connect your learning history to a LinkedIn profile and ensure the profile is associated with a personal email address—not your @smith.edu one, which will expire. Visit Manage Your Email Address for instructions.
Access to your Handshake and Career Connect accounts will not expire. However, it is advised to change your primary email to a personal address in your account settings before your Smith account expires. To update your email information for Handshake, please visit their help page. Students will receive an email from the Lazarus Center for Career Development in June about how to update their Career Connect account to a personal address.
As a former Smith student employee, you will continue to use Workday to view and print your W-2s, payslips, and other personal information. However, after your account has expired after graduating, you can no longer access Workday using the Smith Portal or previously bookmarked links. Instead, you will be sent instructions on how to access Workday as an alum and former student employee. Look for these instructions in your email sometime during the summer after graduation.
Make sure that you have a primary personal email address listed in Workday. Search for the Change My Home Contact Information task and verify the email address under Email.
